1. Organiser
The Qdrant Virtual Hackathon (the “Event”) is organized by Qdrant GmbH (the “Organiser”), with registered office at Chausseestraße 86, 10115 Berlin, Germany. For company and contact information see the Organiser’s Impressum and Privacy Policy. https://qdrant.tech/legal/impressum/
2. Acceptance of Terms
By registering for or participating in the Event, each participant (individually, a “Participant” and collectively, “Participants”) agrees to these Terms & Conditions (these “Terms”). If you do not agree, do not register or participate.
3. Eligibility
3.1. Participation is open to individuals who are at least 18 years old at the time of registration.
3.2. The Event is global, but Participants must comply with any local laws applicable to their participation. Where participation is prohibited by local law, such persons are not eligible.
3.3. Employees, directors or officers of the Organiser and its affiliates, and members of their immediate families or households, are not eligible to participate.
3.4. Participants may compete as individuals or in teams of up to four (4) members.
4. Registration
4.1. All Participants must register through the official Event registration page. Registration information must be complete and truthful.
4.2. Registration and submission deadline: 11:59 PM Pacific Time (PT) (UTC-7) on September 16, 2025. The Organiser may update times on the Event page; the time zone above will govern. (It is the Participant’s responsibility to convert the deadline to the Participant’s local time.)
4.3. By registering, Participants confirm that they will abide by these Terms.
5. Submission Requirements
5.1. To be eligible, each submission (a “Submission”) must:
a. Use Qdrant technology as a material part of the project (https://github.com/qdrant/qdrant, https://qdrant.tech/documentation/quickstart/ or https://qdrant.tech/documentation/cloud-quickstart/);
b. Be submitted by 11:59 PM Pacific Time (PT) (UTC-7) on September 16, 2025 via the form on https://try.qdrant.tech/hackathon-2025;
c. Include a GitHub repository (public or private) that contains the project code; and a README file describing the project, installation/run instructions, and any third-party dependencies; and
d. Include a demo video of no more than 1 minute demonstrating the Submission.
5.2. Submissions must comply with all applicable laws and third-party terms (including any open source licenses). Submissions that rely on third-party code must include correct attribution and license compliance.
6. Judging and Criteria
6.1. Submissions will be evaluated by the Organiser-appointed judging panel (the “Judges”) using the following criteria: functionality, originality, and user experience.
6.2. Judges’ decisions are final and binding on all matters relating to judging and awards, except as otherwise required by applicable law.
7. Prizes and Payment
7.1. prices for the top three teams/individuals:
1st price: USD $5,000
2nd price: USD $3,000
3rd price: USD $2,000
7.2. Prices are paid in gross amounts. Winners are solely responsible for any taxes, withholdings, duties, fees, or other charges arising from acceptance or receipt of the price. 7.3. Payment method and timing: Organiser will pay prices by bank transfer or other mutually agreed method. Organiser will make commercially reasonable efforts to issue payment within a reasonable time after verification of the winner, but timing may vary and is subject to receipt of required documentation and compliance with applicable laws.
7.4. Organiser reserves the right to withhold price payment if Organiser reasonably suspects fraud, identity or eligibility issues, or non-compliance with these Terms.
8. Intellectual Property
8.1. Participant ownership. Participants retain ownership of the intellectual property rights in their Submissions, subject to any third-party rights.
8.2. License to Organiser. By submitting, each Participant grants Organiser, its affiliates, successors and licensees a non-exclusive, worldwide, royalty-free, sublicensable, transferable license to use, reproduce, distribute, publicly display, publicly perform, and create derivative works of the Submission (including screenshots, video clips and descriptions) for marketing, promotional, educational and other business purposes, in any media now known or later developed, in perpetuity. Organiser may attribute the Submission to the Participant in connection with such uses.
8.3. Participants warrant they have all rights necessary to grant the license above, that the Submission is their original work (or used with lawful permission), and that the Submission does not infringe third-party rights.
9. Representations, Warranties & Indemnity
9.1. Each Participant represents and warrants that: (a) they have full power and authority to enter into these Terms; (b) their Submission is original and does not infringe any third-party rights; (c) they will comply with all applicable laws and third-party agreements.
9.2. To the fullest extent permitted by law, Participants shall indemnify, defend and hold harmless Organiser and its affiliates and their respective officers, directors, employees, agents and representatives from and against any and all liabilities, losses, damages, claims, costs and expenses (including reasonable attorneys’ fees) arising out of or related to: (i) Participant’s breach of any representation, warranty or obligation under these Terms; or (ii) claims that the Submission infringes or misappropriates any third-party rights.
10. Code of Conduct and Disqualification
10.1. All Participants must adhere to the Organiser’s Code of Conduct: treat all Participants and staff respectfully; no harassment, discrimination, hate speech, or threatening behavior; no NSFW or otherwise inappropriate content. Violations may result in disqualification and removal from the Event at Organiser’s sole discretion.
10.2. Organiser reserves the right to disqualify and/or remove any Submission or Participant that: (a) is plagiarized, incomplete, or ineligible; (b) violates the Code of Conduct; (c) attempts to manipulate or fraudulently influence the competition; or (d) otherwise breaches these Terms.
11. Privacy & Data Processing
11.1. By participating, Participants consent to the collection and processing of personal data (e.g., name, email, GitHub account, shipping/banking information) by Organiser to administer the Event, verify winners, deliver prices, and for marketing and promotional purposes as permitted by law.
11.2. Personal data will be processed in accordance with applicable data protection laws, including the EU General Data Protection Regulation (GDPR), and Organiser’s Privacy Policy. Participants may exercise their rights under applicable data protection law (e.g., access, rectification, erasure, restriction) by contacting Organiser as set out in the Organiser’s Privacy Policy. https://qdrant.tech/legal/privacy-policy/
12. Disclaimer of Warranties; Limitation of Liability
12.1. THE EVENT, SUBMISSIONS, PRICES AND ANY SERVICES PROVIDED BY THE ORGANISER ARE PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED OR STATUTORY, INCLUDING WITHOUT LIMITATION WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT, TO THE MAXIMUM EXTENT PERMITTED BY LAW.
12.2. TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT SHALL ORGANISER BE LIABLE FOR ANY INDIRECT, INCIDENTAL, CONSEQUENTIAL, SPECIAL, EXEMPLARY OR PUNITIVE DAMAGES ARISING OUT OF OR IN CONNECTION WITH THESE TERMS OR THE EVENT, EVEN IF Organiser HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
12.3. ORGANISER’S TOTAL AGGREGATE LIABILITY FOR DIRECT DAMAGES ARISING OUT OF OR IN CONNECTION WITH THESE TERMS OR THE EVENT SHALL NOT EXCEED THE TOTAL AMOUNT OF CASH priceS ACTUALLY PAID TO PARTICIPANTS (IF ANY). Nothing in this clause is intended to exclude or limit liability that cannot be excluded or limited by applicable law.
13. Taxes and Compliance
13.1. Winners are responsible for any taxes, social contributions or other legal obligations arising from acceptance of the price. Organiser may withhold or report prices as required by applicable law. Organiser may require winners to provide tax identification, proof of identity, or other documentation. Failure to provide required documentation may result in forfeiture of the price.
14. Publicity Release
Unless prohibited by applicable law, each Participant grants Organiser the right to use the winner’s name, likeness, team name, Submission materials, and city/region of residence for promotional purposes without additional compensation, in any media now known or later developed, unless Participant declines in writing when requested by Organiser.
15. Right to Cancel, Modify or Suspend
Organiser may, at its sole discretion, cancel, modify, shorten, extend, or suspend the Event, or amend these Terms, for any reason (including technical issues, fraud, security incidents, or force majeure). Organiser is not liable for any costs or damages resulting from such modification, cancellation, or suspension.
16. Force Majeure
Organiser shall not be liable or deemed to be in breach for any delay or failure to perform due to causes beyond its reasonable control (events of force majeure), including but not limited to natural disasters, acts of government, pandemic, strikes, cyber incidents, or other events.
17. Governing Law and Dispute Resolution
17.1. These Terms are governed by the laws of the Federal Republic of Germany,
17.2. Subject to any mandatory legal rules to the contrary, the courts located in Berlin, Germany shall have exclusive jurisdiction over any disputes arising from or in connection with these Terms. Parties expressly submit to that jurisdiction.
18. Severability; Entire Agreement; Assignment
18.1. If any provision of these Terms is held invalid or unenforceable, the remainder of the Terms will remain in full force and effect.
18.2. These Terms constitute the entire agreement between the Participant and Organiser concerning the Event and supersede all prior or contemporaneous agreements or understandings.
18.3. Organiser may assign or transfer these Terms or any rights or obligations hereunder without consent. Participants may not assign their rights or obligations without Organiser’s prior written consent.
19. Notices
Any notices to Organiser relating to these Terms should be sent to the contact details provided on the Event registration page, which is community@qdrant.com, or to the contact information set out in the Organiser’s Impressum/Privacy Policy.
20. Changes to Terms
Organiser reserves the right to update or amend these Terms. Updated Terms will be posted on the Event website and will apply to Participants who register after posting. Continued participation after changes means acceptance of the updated Terms.
